Job Description Receptionist

The receptionist welcomes the guests of his house. This can be a hotel or a conference center, for example – but many companies also employ receptionists. He is the central contact person for all guest requests. In companies, he sometimes also takes care of the concerns of his colleagues.

Part of the job and typical duties of a receptionist

The receptionist is practically the figurehead of his house and is responsible for looking after the guests. He takes phone calls and forwards them accordingly if necessary. Mail processing and distribution as well as parcel shipping are also often part of his duties.

In many companies, he prepares and follows up the conference rooms and takes care of the service during the conference. Sometimes booking conference and meeting rooms is part of his job, as is scheduling and monitoring appointments. In addition, he creates and checks the visitor ID cards in some buildings and manages the visitor car park. He is also often entrusted with administrative tasks and written correspondence.

In hotels, reservations are just as much a part of his job as preparing guest correspondence. The receptionist prepares arrival documents, is responsible for check-in and check-out and maintains customer data.

Hotels require their applicants to have successfully completed hotel management training. Employers often require experience with hotel software and good to very good foreign language skills. For this job, an open-minded and friendly personality is just as indispensable as independent and goal-oriented work. At the same time, the receptionist thinks operationally and economically. He has good manners as well as a confident demeanor and communication skills. A high degree of flexibility is expected of him in gastronomy, as he works in shifts.
